Spring is here—and just like you might clean out a garage or attic, now’s the perfect time to declutter your business operations. Clutter isn’t limited to closets. It piles up on desks, in file cabinets, and across job sites—slowing you down with outdated drawings, misplaced documents, and paper-based processes that no longer fit how today’s teams work.

If your team still relies on paper-heavy workflows, you may be losing more time, money, and momentum than you realize. At Repro Products, we specialize in helping firms like yours eliminate inefficiencies by digitizing paper documents and streamlining workflows.

1. Paper Is Slowing You Down—Here’s How

Paper documents cause more productivity drag than most realize. Here’s a breakdown of where it hurts:

Lost Time Searching

  • The average worker spends 1.8 hours every day—more than 9 hours per week—just searching for information, according to a McKinsey report. In paper-based environments, that number can be even higher.
  • Without keyword search or remote access, staff must physically sift through file cabinets or storage rooms to retrieve even basic documents—costing your team valuable time and momentum.

Storage Limitations

  • Paper files take up valuable space—whether it’s blueprint drawers or entire rooms of file cabinets.
  • Multiple versions of the same file are often stored, creating confusion over which is current and introducing compliance risks.

Increased Errors

  • Manual data entry, handwritten notes, and physical markups are all prone to human error.
  • Misreading or misfiling a document can lead to costly on-site mistakes, change orders, or delays.

Slower Collaboration

  • Paper-based workflows don’t support real-time updates. Sharing requires scanning, printing, or physically transporting documents.
  • In hybrid and remote environments, paper simply can’t keep up with the speed and flexibility of digital collaboration.

2. Go Digital: The Benefits of Document Scanning

Repro Products offers high-quality document scanning and digital conversion services for a wide range of applications, including:

  • Blueprints, as-builts, and engineering drawings
  • Project records and contracts
  • Permits and compliance documentation
  • Surveys, maps, circuit diagrams, and CAD files
  • Aerial and oversized photographs

But we don’t stop at simply converting paper into pixels.

Our large format scanning services handle documents up to 60” wide, and we go the extra mile by capturing labels, annotations, and revision dates—preserving your data’s integrity and supporting clear version control. Whether the documents are fragile, aged, or oversized, we fulfill special handling instructions to ensure accuracy and consistency.

Once digitized, your files can be:

  • Indexed and searchable for fast retrieval
  • Backed up securely for disaster recovery
  • Easily shared across teams and job sites
  • Integrated into your existing systems like GIS, CAD, or EDMS

With digital files, you’re not just preserving your documents—you’re unlocking smarter ways to access and use them.

3. Smarter Storage and Version Control

Digitized documents can be seamlessly integrated into a document management system (DMS) or tools like Autodesk Docs, giving your team:

  • Centralized access – View, edit, and manage files from one shared location
  • Permission-based controls – Keep sensitive documents secure
  • Accurate version tracking – Always know you’re working from the most current plans

No more version chaos or wasted time hunting down edits from multiple printouts.

Rethinking Printing Practices in the AEC Industry

The architecture, engineering, and construction (AEC) industry has long depended on printing for blueprints, designs, and project documentation. Unfortunately, traditional printing practices come with significant environmental costs, from high paper consumption to increased energy usage. But it doesn’t have to be this way—by embracing sustainable printing solutions, AEC firms can reduce their environmental footprint and improve business efficiency

The Problem: Traditional Printings Impact on the Environment

  • High Paper Usage: Large-scale projects often require multiple iterations of design and documentation, resulting in high paper consumption.
  • Energy Consumption: Older printers tend to be less energy-efficient, using more power per page printed.
  • Waste Production: Ink, toner, and outdated printing hardware contribute to environmental waste, especially if they are not disposed of properly.

The Solution: Shift to Sustainable Printing Practices

AEC companies can transform their approach to printing with the following strategies:

  • Embrace documentation and cloud printing
Transitioning to digital formats for collaboration and storage reduces paper usage significantly. With cloud-based printing solutions, companies can print only when necessary, and documents can be accessed and edited remotely.
  • Invest in Energy efficient devices
Using energy-efficient printers, like those from Xerox, reduces power consumption. These devices often come with eco-friendly certifications, such as ENERGY STAR®, ensuring lower energy use while maintaining high-quality output.
  • Opt for Recycled paper and sustainable inks
Incorporating recycled paper and eco-friendly inks in the printing process minimizes the environmental impact. Many suppliers now offer high-quality, recycled paper that is just as durable as new stock, and biodegradable inks can reduce toxic waste.
  • Leverage managed print services
Managed Print Services allow AEC companies to optimize their printing processes, reducing unnecessary prints and encouraging eco-friendly practices. MPS providers monitor printer usage, manage supplies, and suggest sustainable alternatives to help cut down paper and energy waste.

Sustainability isn’t just good for the planet; it’s good for business, too. According to a study conducted by Quocirca, “41% of respondents reported that sustainability is extremely important to business performance, with this number expected to rise to 68% by 2025.” Implementing sustainable printing solutions not only helps reduce environmental impact but also enhances business efficiency and performance.

Repro Products

Now that Repro Products is an Autodesk National Reseller and sells Xerox equipment, many of our customers do not know our background.  With a name like Repro Products Inc. (RPI), newer clients wonder how does that relate to what they do?  In 1979, Repro Products started as a reprographer.  In this, our first blog, join us for a brief walk down memory lane to see what has changed since 1979:
  •        The Bee Gees were topping the charts and Disco was King
  •     The Walkman represented the newest “gotta have it” technology
  •       A gallon of gas cost less than a dollar
In 1979, while nothing was coming between Brooke Shields and her Calvins, we were selling drafting supplies and were a blue printer.  It has been a long time since prints came out blue.  And a lot has evolved at Repro Products – it’s a good thing, or we would be a footnote to history like the 8-track tape.
Recognizing the need to change with our customers and technology, through the years we added products and services to align with advancements that affected our design and construction clients:
  • Our experience as a blue printer provided us with a unique perspective on engineering, architectural and construction industries and facilitated our move from selling drafting angles and tables into selling and supporting Autodesk Software.  We have now been an Autodesk reseller for over 20 years and are a Gold Partner and Autodesk Authorized Training Center.
  • Although we still do a lot printing for our clients, our print shop’s production services grew to incorporate digital services including managing plan rooms, metadata entry and data mapping.
  • Clients wanted to be able to print in their offices and on jobsites.  We became one of the South’s largest resellers of wide format equipment and service.
In the last decade there was another shift — a larger demand for half-size prints.  Although printed on 11×17” paper, a half-size print requires more expertise from a printer than producing a regular office document.  Five years ago, we expanded our decades-long affiliation with Xerox and became a Platinum Xerox Agent providing multi- function and production devices that support not only our architectural and construction customers’ drawings but also the office staff and marketing teams (and production printers) from a wide variety of businesses throughout metro Atlanta.
One part of our business works diligently with our clients helping them make better BIM (Building Information Modeling) models.  The other part still prints 2D plans.  As the two worlds become closer and closer in technology, we changed from just being in architects’ and engineers’ offices to also being out with our construction clients on their job sites.  The experience of being in the field with our clients, working with them on projects they are trying to win and seeing the end results of jobs they pushed to make come together, we realized there were still some important solutions we needed to provide.
One large hole to fill was accurate building documentation.  Our clients need it to bid a project, plan it effectively, ensure it is being built correctly and to provide a more complete deliverable to their clients.  Everyone knows that as-built drawings are a myth.  And even with BIM-enabled construction sites, the need to ensure what is being built as it is being built is important.
We knew that 3D laser scanning was the answer to getting this vital documentation.  When choosing a 3D laser scanner manufacturer to align with, we needed the technology to be accurate, easy to use and travel ready.  We partnered with FARO because their scanners fit the needs for both our own services and our clients.  We offer the FARO line of 3D laser scanners as well as scanning services for those clients who do not want to do the scanning themselves.  We also rent scanners for those in between.
Just possessing accurate data is not enough, though.  We knew we had to own the proper data capture and use workflow.  Receiving data that is approachable and usable is vital to our clients’ success.  For our Autodesk software users, we train on how to actually use the data in the software.  Our non-design clients receive an accurate 3D image file that lets them move around, see and measure virtually but with real, accurate data.
So that is 36+ years of evolution in under 800 words!  Moving forward, our blogs will be specific to our lines of business so you can get timely information on just the subjects that interest you most: Autodesk software, 3D laser scanning, wide format printing and equipment and Xerox office and production equipment.  Check back here weekly to see what’s new.
